Billing, Cancellation, and Data Policy

This page explains exactly what happens to your instance and your data at every stage - a missed payment, a voluntary cancellation, or a change of mind. If you only remember one thing: nothing is ever deleted without advance notice and a real window to fix it.

If a payment fails

  • Day 0-7 - grace period. Your instance keeps running normally while we retry the payment and email you about it. Nothing changes on your end yet.
  • Day 7 - suspension. If payment still hasn't gone through, your instance is suspended (stopped, not deleted). Your data is untouched and safely stored.
  • Day 7-37-30-day restore window. Pay the outstanding balance any time in this window and your instance is restored exactly as it was - same workflows, same credentials, same data.

If your prepaid wallet runs out

Shared-lane instances are funded from a prepaid wallet rather than a monthly charge.

  • At around seven days of balance remaining, we email you once.
  • At zero, your instances are paused - stopped, not deleted, and no longer costing you anything.
  • Paused data is retained 30 days, then permanently deleted. We tell you first.

If you cancel voluntarily

  • Cancel any time from your dashboard. It takes effect at the end of your current billing period - no early-termination fee.
  • You can export your workflows and data at any point, before or after cancelling.
  • 30-day reactivation window. Change your mind within 30 days and we restore your instance from backup, exactly as it was.
  • After 30 days, your data is permanently deleted and cannot be recovered. If there's any chance you'll want it back, export a copy or reactivate before this point.

One retention number, every path

Whatever brought you here - cancellation, a failed payment, or an empty wallet - the retention period is the same: 30 days from the day the instance stops, then permanent deletion, with an email before it happens.

We publish it as one number deliberately. A policy with different windows depending on how you left is a policy nobody can act on.

Why these specific numbers

Vague, short grace periods before data loss are a common complaint about budget hosting. We publish ours plainly and give real time to fix a lapsed card or change your mind, rather than a fine-print countdown you find out about after the fact.

Statutory cancellation rights

If you're a consumer with a statutory cooling-off right — for example the 14-day right under the EU Consumer Rights Directive — you keep it. We don't ask you to waive it at checkout and we don't rely on any waiver.

What changed

This page used to say EU consumers waived that right by consenting to immediate activation at checkout. That was wrong: the checkout never asked for such consent, so there was no waiver. Corrected 14 August 2026.

Refunds

We refund what we haven't delivered yet — not the part you've already used, and not money we've already spent buying hardware on your instruction.

Every SpliceRun price is either a management fee or a server cost passed straight through at what it costs us. Those behave differently when you leave, so refunds treat them differently.

Before we've built anything: full refund, any time, no questions. If you've paid and we haven't provisioned yet, nothing has been spent — you get all of it back.

Once your instance is running, ask within 14 days of a payment and we refund the unused part:

This is shown to you on the purchase page before you pay, not only here.

Also not refundable: completed one-time services such as a finished migration, and any other third-party cost already incurred on your instruction.

Where a statutory right gives you more than this, the statutory right wins — and note most such rights are themselves proportionate, entitling you to a refund of what wasn't supplied, which is what this already gives you.

How to ask: email support@splicerun.com with your account email and payment reference. A person handles it — there's no self-serve refund button, and that's the path rather than a missing feature.

Your data

  • Your workflows, credentials, and execution history belong to you.
  • We don't read the contents of your workflows. To tell you when an automation breaks we read execution metadata — the workflow's name, whether a run failed, and when — and on managed n8n that's enforced by a database role which is denied access to the table your run data lives in. The full list is in the Privacy Policy, and you can switch that monitoring off per instance; it's off by default.
  • You can export everything at any time while your account is active — see Backups & Data Recovery for how backups and exports work day-to-day, independent of cancellation.

GDPR and data rights

We comply with GDPR and applicable data protection regulations. You have the right to access, export, and request deletion of your data at any time - email support@splicerun.com for any of these.
